POSITION SUMMARY:

Primary or secondary responder to inbound phone calls. Receives requests for home care services from clients, schedules the shifts, and enters accurately into VividCare system. Responsible for receiving and scheduling Care Partner time off requests. Confirms and verifies schedules with clients. Responsible for verifying the telephony report (UVS) to the schedule as needed, and provides the updated information to payroll/biller. Maintains telephone contact with clients and Care Partners in order to determine level of customer satisfaction. Responsible for all administrative office functions to ensure smooth operations in the Care Center . Performs special projects and other duties as assigned.

MAIN DUTIES AND RESPONSIBILITIES (Essential Functions of the Position):

1. Receives requests for home care services and coordinates request with clients, Care Partners and referral sources

a) Gathers all necessary information from caller and completes scheduling requests in timely manner

1.) Accurately enters schedules into Vividcare system

b) Confirms scheduled Care Partners with clients on daily basis

c) Ensures deposits or third party authorizations are received on all cases/schedules shifts

d) Monitors margins in each shift that is scheduled and coordinates rates with Staffing Manager

e) Complies with Wage Order/Overtime requirements, and restricts OT on facility and housekeeping cases

f) Requires two (2) weeks notice for Care Partner time off requests and coordinates replacements with clients

g) Calls clients to determine level of service satisfaction

h) Maintains client and Care Partner status in Vividcare system

2. Confirms/verifies telephony reports with Care Partner staff

a) Ensures that ETC are submitted to payroll/biller when appropriate

b) Completes payroll reports as designated by FM: OVR, Task Code, Schedules Not Found

c) Removes Care Partner schedules from VividCare once it is determined that a Care Partner did not work a scheduled shift. Send this documentation to FM for follow up with Care Partner on proper procedures

d) Responsible for Work Comp Flow Sheet policy/process

3. May be responsible for Administrative office functions to ensure smooth Care Center operations

a) Primary responder to inbound phone calls and faxes

b) Responsible for all client and Care Partner data entry and maintenance of records, coordinating with FS/FM on Care Partner expired requirements

c) Responsible for monitoring Client Service Agreement and deposits/authorizations on all new cases

d) Responsible for mail services and distribution of incoming faxes

4. Performs special projects and other duties as assigned.

QUALIFICATION GUIDELINES

EXPERIENCE/TRAINING/EDUCATION/CERTIFICATION:

Required:

? High School Diploma or Equivalent

? Minimum one year home care experience, human resources, community service and/or supervisory experience

Helpful:

? Scheduling experience in the staffing industry

KNOWLEDGE:

? Modern office practices, including office equipment

? Knowledge of rules and regulations governing human resources issues

SKILLS/ABILITIES:

? Ability to communicate effectively with internal/external customers

? Strong computer skills including experience with MS Office, including Outlook

? Previous experience with scheduling software

? Ability to multi-task

? Strong math aptitude

? Strong typing skills

? Detail oriented

? Impeccable follow-up skills

WORK ENVIRONMENT/DEMANDS OF THE POSITION :

? Travel : Position requires minimal business travel and a valid Driver’s License.

? Physical Demand: Light physical effort. For example, standing, bending, or stooping for extended periods, operating light office equipment, e.g., personal computer, copier, fax machine, etc., manually handling medium weight materials and/or equipment (0 to 10 pounds).

? Dexterity: Light dexterity, e.g. using data processing equipment, long periods of standing/sitting, etc.

? Mental Demand: Moderate to high degree of concentration due to volume, complexity, and/or “pressure” of work.

? Working Conditions: Clean working conditions with no disagreeable factors.
